Booking Terms & Conditions

Reservation, Deposit & Payment

A booking is confirmed when the (representative of the) traveler(s) has received the invoice and final travel itinerary from Gidtor Travel Diaries. A deposit of 50% of the total amount is required within ten days of confirmation. Final payment 50% is due 45 days prior to departure. Full payment must accompany all tours booked less than 45 days prior to departure. All payments via bank should be made without any bank transfer charges for us. We reserve the right to cancel any reservation if full payment is not received by the due date and assess appropriate cancellation charges.


Amendments & Cancellations

All requests for changes must be made in writing. Any changes to a confirmed booking will depend on availability and will be subject to Gidtor Travel Diaries approval. An amendment fee per booking may be levied for any changes to the confirmed booking. This is charged in addition to the change fees charged by the supplier.

All requests for cancellations must be made in writing. There is no cancellation fee for cancellations made from the time of deposit until 60 days prior departure except for administrative charges which is 5% of the cost of the trip. For cancellations received less than 60 days prior to departure the following schedule will apply:

  • Cancellations between 60 and 45 days before arrival are charged against 25% of the total cost.
  • Cancellations between 44 and 31 days before arrival are charged against 50% of the total cost.
  • Cancellations less than 30 days prior to arrival or no shows are charged against the total cost i.e. 100%.


Itinerary changes

Although every effort is made to adhere to schedules, it should be noted that we might be forced by conditions do so in the traveler’s interest; due to unforeseen circumstances outside the control of Gidtor Travel Diaries and/or subcontracted partners such as road and weather conditions, acts of God, natural disasters, epidemics, industrial action, accidents, civil unrest, government action, or war. We will try to provide an adequate alternative, but can accept no liability for any additional cost incurred. Other changes might be parks and reserves migrations of animals from one region to another etc. We will communicate with you in case any of the mentioned changes occur.


Price changes

We reserve the right to make changes and adjustments in given rates at any time. In the event of a change on government taxes, levies, concession fees, wildlife management fees or others, we reserve the right to pass these on to you even if you have already fully or partly paid for your services.


Promotional photography & videos

Gidtor Travel Diaries reserves the right to use any photographs and/or videos taken during tour for marketing purposes. By booking travelers agree to allow their images to be used in such a manner if need be. However, travelers retain the right to use the photographs / videos while allowing us to retain the copyright authority. Travelers who prefer that their images not be used are asked to identify themselves to their travel program escort at the beginning of their tour.


Special needs

Travelers with special needs (i.e. physical challenges or disabilities) must communicate their special need requirements at the time of the booking. Whilst every care is taken to provide for all your special needs made known to us prior to the tour, we obviously require full details of any required medication, medical conditions and/or disabilities and capabilities to ensure these needs are accommodated. We will communicate with you in case a special need request cannot be met. No responsibility will be taken for not catering to any conditions or requirements not communicated to us at the time of booking.



Any dispute for reservations, payments or complaints about our services must be made in writing to Gidtor Travel Diaries within 14 days following completion of the tour or will be deemed to have not occurred, with no compromise made to outstanding monies. We regret we are unable to make refunds for unused portion(s) of the tour including but not limited to missed meals and sightseeing.


Passports, Visas & Health Requirements

You should ensure that you have all the travel documents including passports, visas and vaccination certificates (if needed) before your departure date. This also includes adequate travel and medical insurance. For any vaccination, for example the yellow fever vaccination, consult your physician or travel health specialist for the proper prescription. It is your sole responsibility to obtain appropriate medical advice as to medication, immunization, and whether or not you are fit enough to undertake the trip, prior to departure. Gidtor Travel Diaries will not be responsible for any disruption to your travel plans caused as a result of a failure to do this.


Limitation on Liability & Responsibility

Gidtor Travel Diaries, its employees, officers, directors, successors, agents and assigns, does not own or operate any entity which is to or does provide goods or services for your tour. It purchases transportation (by aircraft, coach, train, vessel or otherwise), hotel and other lodging accommodations, restaurant, ground handling and other services from various independent suppliers. All such persons and entities are independent contractors. As a result, Gidtor Travel Diaries is not liable or responsible for any negligent or willful act of any such person or entity or of any third person.


Gidtor Travel Diaries, hereafter called the Travel Company and/or their representatives will not accept any liability or responsibility during or prior or after the tour in the event of damage, injury, loss, accident, illness, delay or other irregularity due to defects of any company or person employed in the organization of the transportation. The Travel Company and/or their representatives will not accept any responsibility for extra cost due to delays, changes or any other reason. The Travel Company and/or their representatives are not responsible for any consular, political, or military complications created voluntarily or involuntarily by the passengers or any other person. The Travel Company cannot be held responsible for any fault or default or negligence by accommodation providers or its employees. The Travel Company reserves the rights to decline, to accept or retain any person and to change or cancel the tours, if necessary, for any reasons. Any deposit payment will represent an acceptation of the above mentioned conditions.


Law and Jurisdiction

The law of Kenyan shall be applicable in the interpretation of the terms and conditions.




IMPORTANT – Please check your flight tickets against your itinerary to ensure all details are correct. In particular, you should check the spellings of names on flight tickets and the departure times of flights.


PASSPORT – Please check your passport is valid for at least six months from the date of entry, and with at least two blank pages.
